無論求學、求職面試或是職場溝通都需要使用Email作為溝通工具,面對不同情境所需要的語句不同,如果用太生硬的英文來寫會顯得突兀,但太口語化又會顯得不夠禮貌及不專業。因此我們整合了6大常用商業/正式Email必用短句,讓各位職場新鮮人可以在日常運用,輕鬆寫出表達完整又專業的Email。

1. 開場白 Greetings

Email的開場白可以簡短問候對方,或禮貌地回應對方,以一句帶入之後的主題。

2. 回覆 Reply

如果要回覆對方的Email可以表現出友善態度,在開始說明主題之前加入幾句開場白給予回應。

● Thank you for your email about…

● Thank you for reaching out.

● Thanks for getting back to me so quickly.

● Thanks for keeping me in the loop.

3. 來信目的 Purposes

寫Email的重點需要精簡,並馬上進入正題讓收件人清楚來信目的,然後作出回應。

● I am writing to confirm /enquire /inform… (我寫信目的是要確認/查詢/通知)

● I am reaching out because/ to ask for/ to discuss…(我寫信目的是想與您討論)

● Further to our discussion on…

4. 溫馨提示 Reminder

當想向對方作出提醒時,可用客氣的語調提示,避免有過份催促的語氣。

● Kingly be reminded to

● Just a friendly/ quick reminder that…

● Please let me know if…

5. 請求 Request

如果需要請求對方要注意用詞並用委婉方式,避免太強勢而冒犯對方,拜託對方達成自己的請求。

● I would be grateful if you could…

● If possible, I would like to know more about…

6. 附件 Attachment

要請收件人查看附件,可用以下方式表示。

7. 結尾 Ending

最後結尾的部分可以表現出自己期待對方回覆,願意主動提供幫忙等正面態度,展現出專業禮貌。
